Terms & Conditions

These terms govern all detailing services provided by Ghost Detail Autos ("we", "us", "Romeo"). By booking a service, you agree to these terms.

Bookings & Payment

All bookings are confirmed via written communication (email or our booking form). A booking is only confirmed once you receive written confirmation from us.

Payment is due on completion of service unless otherwise agreed in writing.
We accept bank transfer, card payment, and cash.
Ghost Pass subscriptions are billed monthly via Stripe. See Ghost Pass terms below.
Quotes are valid for 14 days from issue.

Cancellation & Rescheduling

We understand plans change. Our policy is designed to be fair to both sides.

Cancellations with 48+ hours' notice: no charge.
Cancellations with 24–48 hours' notice: 25% of the quoted price.
Cancellations with less than 24 hours' notice: 50% of the quoted price.
No-shows on the day: full quoted price applies.
We may reschedule due to weather or unforeseen circumstances. No cancellation fee applies in this case.

Vehicle Condition & Liability

We take the utmost care with every vehicle. However, please note the following.

We are not liable for pre-existing damage undiscovered until after the service.
Paint depth readings are taken before any correction work. We will not proceed if readings indicate risk.
Vehicles with significant pre-existing damage may require a revised quote on inspection.
We are fully motor trade insured. Insurance documentation available on request.
Valuables should be removed from the vehicle before drop-off.

Satisfaction Guarantee

We stand behind our work. If you are not satisfied with any aspect of the service:

Contact us within 7 days of the service date.
We will arrange a complimentary touch-up at a mutually convenient time.
This guarantee does not cover normal wear, environmental factors, or misuse after handover.

Ghost Pass Subscriptions

Subscriptions renew monthly on your billing date via Stripe.
Cancel any time before the next billing date to avoid the next charge.
Unused monthly credits roll over for one calendar month only.
We reserve the right to modify plan pricing with 30 days' notice.

Mobile T&Cs

These additional terms apply specifically to mobile detailing services carried out at your location.

Site Requirements

To carry out mobile detailing safely and to our standard, we require:

A suitable parking space or driveway where we can work safely around the vehicle.
Access to a standard outdoor tap (for Spark Wash and most services). Waterless options available on request.
A standard 240v electrical outlet within 25 metres for machine polishing services.
A hard, level surface is preferred for paint correction work. Gravel is not suitable for correction packages.

Access & Timing

We will confirm an arrival window of 30 minutes the evening before your booking.
If access is not available on arrival, a waiting period of up to 20 minutes applies. After this, a cancellation charge may apply.
Service times are estimates. Complex vehicles may take longer; we will notify you if this is the case.

Weather Policy

Heavy rain or temperatures below 5°C may cause us to reschedule certain services at no charge to you.
Spark Wash services can proceed in light rain. Machine polishing and ceramic application cannot.
We will contact you by 8am on the day if weather requires rescheduling.

Travel Zones

Zones 1 & 2 (within 30 miles of WD18): no travel surcharge.
Beyond 30 miles: travel surcharge quoted prior to booking confirmation.
Congestion Charge, ULEZ, and similar fees in London are included for Zone 1 & 2 bookings.

Privacy Policy

Ghost Detail Autos respects your privacy. We collect only what we need, use it only for its stated purpose, and never sell your data.

What We Collect

Contact information — name, phone, email, provided when booking or enquiring.
Vehicle information — registration, make, model — to quote and deliver services accurately.
Payment information — processed securely by Stripe. We do not store card details.
Service history — previous services, coatings applied, and paint readings for Service Passport holders.
Communications — email correspondence related to your bookings.

How We Use Your Data

To confirm, manage, and deliver your booked services.
To send ARIA maintenance reminders (Ghost Pass members only — opt-out any time).
To maintain your Service Passport and coating history.
To respond to your enquiries and complaints.

Data Retention

We retain booking records for 6 years (HMRC requirement). Service Passport records are kept for the duration of your relationship with us plus 2 years. Enquiries that do not lead to a booking are deleted after 12 months. You may request deletion of non-statutory data at any time.

Your Rights

Right of access — request a copy of the data we hold on you.
Right to rectification — correct inaccurate data.
Right to erasure — request deletion where no legal obligation to retain applies.
Right to object — opt out of non-essential communications.

GDPR Notice

Ghost Detail Autos is registered with the ICO (Information Commissioner's Office) in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Data Controller

Ghost Detail Autos, trading as a sole trader registered in England and Wales. ICO registration number available on request.

Lawful Basis for Processing

Contract — processing necessary to deliver the services you have booked.
Legal obligation — retaining financial records as required by HMRC.
Legitimate interest — maintaining service history for ongoing customer relationships.
Consent — ARIA reminders and marketing communications (opt-in only).

Third Parties

Stripe — payment processing. Subject to Stripe's own GDPR-compliant privacy policy.
DVLA — vehicle registration lookup via API for service purposes only.
Cloudflare — website hosting and the secure database that stores booking and enquiry details (data may be processed outside the UK under standard contractual safeguards).
Email delivery provider — sends your booking and enquiry confirmation emails.
AI assistant providers — messages typed into the on-site chat assistant are sent to an AI provider (Cloudflare Workers AI, or OpenRouter as a fallback) to generate a reply and cached for up to 24 hours. Please do not enter personal or payment details in the chat.
Google Fonts — web fonts are loaded from Google, which receives your IP address when pages load.

Data Transfers

We do not transfer personal data outside the UK except where required by third-party processors listed above, each of which maintains adequate protection under UK GDPR transfer mechanisms.
